How to Change Text In the Mail

by Marina on June 27, 2012

If you are using Gmail as your service for sending out formal communication emails it is important that you are fully aware of all the features that Gmail has to offer. An email is a very sensitive letter that can have a seriously negative effect on the reader is proper care is not taken to ensure that the email is readable, implies what it’s supposed to imply, and does not seem rude to the reader. It should be very carefully formatted to ensure that the reader is not suddenly turned off by the look of your email that he/she does not even read ahead.

In professional work environments, emails are constantly being used as a form of communication with sensitive clients, customers, and stakeholders. With these important people it is necessary that you are fully aware of all the ways in which you can change the text of your email to make it attractive so that it grabs the attention of your reader and makes a lasting impression.

If you open the compose email feature on Google, you will get a screen that has three text boxes. The first is for the address of the recipient, the second is for the subject, and the third large box is for all the details of the email.  However after the second text box you will notice a line of icons. All these icons are what will help you in modifying the text of your email. You always have to make sure that you change the text size so as to have a size that is neither too small nor too large. Text that is too large gives the appearance of being a rude email as the reader feels as if the sender is screaming at him/her. At the same time text that is too small is painful to read and would soon lose the attention of the reader.

One of the most convenient and quickest forms of communication available to us today is email. Whether you are engaging in a casual conversation with your close friends or sending out professional communications, email is the best tool to serve all purposes. It is being widely used as the number one form of communicating with employees, bosses, customers, stakeholders, and even potential clients.

If you have an account on Gmail and wish to send an email follow the following instructions:

  1. Login your Gmail account.
  2. You will be inbox will open up in front of you. On the left hand side pane you will see a bold red button that says ‘COMPOSE’. Click on that button.
  3. The following image will appear on your screen:
  4. In the first text box that has the word ‘To:’ written, type in the email address of the person to whom you are sending an email.
  5. The next text box says, ‘Subject:’. This text box is for writing a short heading to notify the receiver the subject of your email. This helps attracting the eye of the receiver as well and is commonly used by marketers to entice readers into opening their emails. For formal communication it is also important that you give a meaningful subject to your email. For informal communication, many people choose to leave it blank, though again it’s better if you write a header there.
  6. Below the ‘subject’ text box, you can see the words ‘attach a file’ in blue. If you want to send a picture, file, or other kind of document to your receiver, click on this blue link and upload the item you want to send as an attachment.
  7. Finally in the big box that appears underneath the ‘subject’ text box, write the message that you wanted to give to your receiver.
  8. Once you are done, hit the ‘send’ button that you can see above the ‘To:’ text box. You email will be sent to its intended recipient.
